About this Policy

Design My Safari B.V. operates the Design My Safari website and online platform, through which travellers can explore, design and book safari packages.

This Privacy Policy explains how we collect, use, share and protect personal information when you:

  • Visit or use the Platform.
  • Create an account.
  • Design or submit a safari.
  • Communicate through the Platform or contact us.
  • Make or manage a safari booking.
  • Travel on a safari organised by Design My Safari.

This Policy applies to travellers, passengers and other customer-side users of the Platform. Separate privacy information may apply to Operators and other business partners.

Who is responsible for your information

Design My Safari B.V. is the controller of the personal information we use to operate the Platform, manage accounts, organise safari packages, take payments and provide customer support.

Operators and other travel suppliers may act as independent controllers when they use passenger information to deliver their services, manage local operations or meet their own legal obligations.

Payment and other service providers may act as processors or independent controllers, depending on the service they provide.

Information we collect

The information we collect depends on how you use the Platform.

Information you provide

We may collect:

  • Identity and contact information: your name, email address, telephone number and country of residence.
  • Account information: your login credentials, account preferences, saved itineraries and favourites.
  • Safari information: travel dates, party size, itinerary choices, accommodation, activities, budget and preferences.
  • Passenger information: names, dates of birth, nationality, passport or identification details and contact information.
  • Special requirements: dietary, allergy, health, mobility, accessibility or other information needed to arrange the safari safely.
  • Communications: messages sent through the Platform, contact forms, email or other support channels.
  • Payment information: transaction references, payment status, billing information, refunds and chargeback information.

Card payments are processed by our payment provider. Design My Safari does not receive or store complete card details.

Information about other passengers

If you provide information about another passenger, you must be authorised to do so and must make this Privacy Policy available to them.

Information collected automatically

When you use the Platform, we may collect:

  • IP address.
  • Browser and device information.
  • Operating system and language settings.
  • Pages viewed and actions taken.
  • Referring pages.
  • Approximate location derived from an IP address.
  • Cookie and similar technology information.

We do not collect precise GPS location through the Platform.

Information received from other organisations

We may receive information from:

  • Operators and travel suppliers.
  • Payment and financial-service providers.
  • Fraud-prevention and security providers.
  • Analytics and marketing providers, where permitted.
  • Public authorities where necessary and lawful.

Where we rely on legitimate interests, we consider whether our interests are proportionate and whether your rights override them.

We do not make decisions that produce legal or similarly significant effects on you solely through automated processing.

Sensitive information

Some health, mobility, allergy, accessibility or dietary information may be treated as sensitive personal information under data-protection law.

We collect this information only where it is relevant to arranging or operating the safari safely. Where required, we ask for explicit consent.

You may withdraw your consent, but this may affect our ability to arrange or safely provide a service that depends on the information.

In a genuine emergency, relevant information may be used or shared where necessary to protect the vital interests of a passenger or another person.

Please do not submit sensitive information in a general message or free-text field unless it is necessary for the safari.

Who we share information with

We share personal information only where necessary and proportionate.

Operators and travel suppliers

We may share relevant information with the appointed Operator and with accommodation providers, activity providers, transport providers and other travel suppliers.

This may include passenger names, contact information, travel dates, itinerary information, passport details and relevant dietary, health, mobility or accessibility requirements.

Each recipient should receive only the information needed to provide its service or meet a legal obligation.

Park and conservation authorities

We may share passenger names, nationality, dates of birth, passport or identification information and itinerary details where required to arrange park entry, permits or conservation access.

Payment and financial-service providers

Payment providers process card payments and may provide us with transaction confirmations, fraud indicators, refunds and chargeback information.

Platform and business-service providers

We may use providers supporting:

  • Hosting and infrastructure.
  • Email and communications.
  • Customer support.
  • Security and fraud prevention.
  • Analytics and performance monitoring.
  • Marketing, where you have given any required consent.
  • Accounting and business administration.

Providers acting as processors may use personal information only on our instructions and under appropriate contractual protections.

Professional advisers and authorities

We may share information with professional advisers, insurers, auditors, regulators, law-enforcement bodies or other authorities where necessary or legally required.

Business transfers

Information may be transferred as part of a merger, restructuring, financing or sale of all or part of our business, subject to appropriate safeguards.

International transfers

Design My Safari is based in the Netherlands, but safari services are delivered outside the European Economic Area.

We transfer relevant passenger and booking information to Operators, accommodation providers, activity providers and authorities in Tanzania and any other destination included in the safari.

Some technology and business-service providers may also process information outside the EEA.

Where a recipient is in a country without an applicable European Commission adequacy decision, we use a lawful transfer mechanism where required. This may include European Commission Standard Contractual Clauses and additional contractual, organisational or technical safeguards.

How long we retain information

We keep personal information only for as long as it is needed for the purpose for which it was collected, including legal, accounting, security and dispute-resolution requirements.

In general:

  • Account information is kept while the account is active and for a reasonable period afterwards.
  • Booking and payment records are kept for the applicable financial, tax and legal-retention periods.
  • Messages and support records are kept while relevant to an account, safari, complaint or dispute.
  • Passport and identification information is kept only for as long as needed to arrange and complete the safari, meet a legal requirement or resolve an immediate issue.
  • Health, dietary and accessibility information is removed when it is no longer needed to prepare, operate or complete the safari, unless retention is legally required.
  • Cookie and analytics information is retained for the periods stated in our Cookie Notice.

When information is no longer needed, we delete it or anonymise it.

Security

We use appropriate technical and organisational measures to protect personal information.

These measures may include access controls, encryption in transit, secure authentication, logging, monitoring, staff-access restrictions and secure-development practices.

No online system can be guaranteed to be completely secure. If you believe your account or information has been compromised, please contact us promptly.

Cookies and marketing

We use necessary cookies to operate the Platform.

With your consent where required, we may also use analytics or marketing cookies to understand Platform use and measure campaigns.

Non-essential cookies are not placed before the required consent is obtained. You can reject them or change your choice through our cookie-preferences tool.

Our Cookie Notice identifies the cookies and similar technologies used, their purposes, providers and retention periods.

Marketing communications are optional. You may unsubscribe at any time using the link in the message or through your communication preferences.

Children and passenger information

Accounts and bookings must be created by someone aged 18 or over.

An adult making or managing a booking may provide information about passengers under 18 where authorised to do so.

We use children’s information only where necessary to design, arrange and operate the safari, meet safety requirements or comply with legal and park-entry requirements.

If we learn that a child has created an account or provided information without appropriate authority, we will take reasonable steps to restrict or delete it unless retention is legally required.

Your rights

Subject to applicable law, you may have the right to:

  • Access your personal information.
  • Correct inaccurate or incomplete information.
  • Request deletion of your information.
  • Restrict certain processing.
  • Object to processing based on legitimate interests.
  • Withdraw consent at any time.
  • Receive certain information in a portable format.
  • Complain to a data-protection authority.

Withdrawing consent does not affect processing that was lawful before withdrawal.

Some rights are subject to legal exceptions. For example, we may need to retain certain booking, payment or legal records.

We may ask for information needed to verify your identity before acting on a request.

We normally respond to privacy-rights requests within one month. Where permitted, this period may be extended if a request is complex or if several requests are received. We will tell you if an extension is required.

You may also complain to the Dutch data-protection authority, the Autoriteit Persoonsgegevens, or to a data-protection authority in the country where you live or work.

We may update this Policy when our services, legal obligations or processing activities change.

The “Last updated” date shows when the current version took effect.

Where a change materially affects how we use personal information, we will take reasonable steps to notify affected users before the change takes effect.
